XMX (Xpress MX) Privacy Policy

1. Who we are. XMX (Xpress MX) is an internal shop management application owned and operated by Xpress Aircraft Maintenance LLC ("Xpress Aircraft", "we") and used only by our own staff. This policy explains what information XMX handles, including information from our QuickBooks Online company.

2. Information XMX handles.

• Our own business records: work orders, aircraft, parts, inventory, purchase orders and invoices.
• Customer details needed to invoice them: name, company, contact details and billing address.
• Staff accounts: name, sign-in details and time records.
• From our QuickBooks Online company: the company ID, customers, products and services (items), invoices, invoice balances and payment status, and the sales settings needed to send invoices.
• The sign-in tokens QuickBooks issues when an administrator connects XMX.

3. How we use it. Only to run Xpress Aircraft's maintenance business: to keep work and parts records, prepare invoices, send them to our QuickBooks company, and see which invoices are paid. We do not sell, rent or share this information, or use it for advertising.

4. Who can see it. Only Xpress Aircraft staff, each with their own account and only the parts they need for their job. QuickBooks sign-in tokens are kept only on our server and are never shown to anyone. Service providers that host XMX's servers and backups for us store the data on our behalf and do not use it for anything else.

5. How we protect it. XMX is reached only over our private company network, never from the open internet, and all connections are encrypted (https). Every user signs in with their own account; administrators also use two-factor sign-in. XMX's logs never record passwords, QuickBooks tokens or QuickBooks data.

6. How long we keep it. Business records are kept as long as our record-keeping duties require. QuickBooks tokens are deleted when XMX is disconnected from QuickBooks.

7. Disconnecting QuickBooks. A QuickBooks administrator can disconnect XMX at any time, from XMX's QuickBooks page or from the connected apps list in QuickBooks Online. XMX then stops reading from and writing to QuickBooks.

8. Changes. We may update this policy; the date above shows the latest version.
